Document Coordinator - Legal

Job Purpose

The Document Coordinator - Legal will serve as the point person for the Adobesign system throughout the company, performing general office (contract and document administration) and other administrative duties for ICE attorneys and paralegals. The Document Coordinator - Legal will also provide administrative support on immigration case management. 

  • Coordinate execution of legal contracts and documents through the Adobesign system for global business units
  • Maintain electronic files for customer contracts processed through Adobesign system
  • Assist Immigration Paralegal and Immigration Counsel with administrative tasks for immigration case management
  • Coordinate with other corporate teams (tax, accounting, internal audit) to provide required reports and documents as needed
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails
  • Serve as a backup resource to corporate paralegals and attorneys on a variety of corporate legal matters
  • Collaborate with attorneys to file legal documents in electronic and hard copy filing system
  • Scan or read incoming materials in order to determine how and where to classify or file
  • Maintain electronic and hard copy filing system
  • Add new material to file records and create new records as necessary
  • Eliminate outdated or unnecessary materials, destroying or transferring documents to inactive status according to file maintenance guidelines, legal requirements and/or corporate retention policies
  • Track file movement and keeping records of materials filed or removed, using logbooks, databases and spreadsheets
  • Modify and improve filing systems or implement new filing systems, including designing forms related to filing systems and record location
  • Perform periodic inspections of materials or files in order to ensure correct placement, legibility, and proper condition
  • Place materials into storage receptacles, such as file cabinets, boxes, bins, or drawers, according to classification and identification information
  • File and record organization, maintenance and retention
  • Retrieve documents from filing system
  • Handle requests for information and data
  • Resolve administrative problems and inquiries
  • Prepare written responses to routine inquiries

Knowledge and Experience
  • Bachelor’s degree and/or 3+ years of experience working in a corporate legal environment
  • Prior immigration experience preferred
  • Exceptional computer skills and knowledge of relevant software (Adobesign, MS Outlook, MS Office, MS Excel) and office equipment
  • Ability to learn new software applications quickly
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping
  • Strong communication skills
  • Excellent organizational skills
  • Attention to detail and accuracy
  • Adaptable with focus on teamwork and customer service
  • Problem solver with ability to prioritize
