The Project Coordinator will be part of the infrastructure project management team responsible for end-to-end project deliveries. Responsible for tracking project requirements, they will create detailed task and delivery plans and work directly with engineers and managers for timely and quality delivery; for projects ranging from small enhancements and changes to discrete site projects.   The Project Coordinator will use and enhance metrics for tracking delivery progress, will work with infrastructure teams to identify, analyse and resolve risks & issues and will also contribute to team efficiencies. The candidate must be a self-starter who works extremely well within teams and demonstrate the ability to coordinate others in their completion of project activities. The Project Coordinator should ideally have some base skills in project management, must have excellent communication skills (written and verbal) and be able to work with virtual, at times global, project teams to deliver. The position may require weekend and evening hours to complete work required and liaise with global teams. It will report to the Director, Infrastructure PMO (based in Melbourne, Australia) specifically focusing on connectivity & data feed related initiatives.

 

Responsibilities

 

  • The Project Coordinator will be a key point of contact in the coordination of infrastructure delivery activities; including equipment sourcing, physical installation within in datacenters, delivery of cross connects and circuits, end to end build testing and handover to support teams
  • Capture, clarify and ensure shared understanding of project requirements, capturing and documenting scope, key drivers and success factors from teams looking for new infrastructure delivery, scale out, enhancements, etc
  • Coordinate these new builds, enhancements and decommissions of network and communications related infrastructure in line with ICE and industry standard project delivery processes
  • Coordinate the identification of required infrastructure teams & technologies for each delivery, bringing the team together to understand and focus on the implementation
  • Track delivery against requirements, identifying and reporting issues & risks, along with tracking dependencies, progress to timeline and ensuring alignment with initial scope 
  • Capture related documentation centrally and promote shared work folders for enhancing collaboration and minimizing re-work by the project team in its delivery
  • Create cross-functional delivery plans which include design and procurement, identifying detailed task & role responsibilities along with timeline estimates, and coordination of external third parties
  • Liaise professionally with third party suppliers, partners and exchanges in the delivery of services
  • Facilitate regular status meetings and reporting to manage the delivery execution.
  • Communicating regularly and transparently with globally dispersed team members this person will ideally provide a single local point of contact and expertise for the PMO - Connectivity & Feeds team in the UK.

Knowledge and Experience

 

  • Bachelors or equivalent degree
  • Experience as a project coordinator or working in a technical infrastructure delivery role within information technology & telecommunications.  
  • Experience applying standardized project control & reporting mechanisms such as planning and project progress tracking / control, resource planning and allocation, time estimation and issue and risk management.
  • Ability to work independently and unsupervised on a day to day basis, setting high expectations for themselves and others.  
  • Communication and interpersonal skills that are highly developed; able to be concise but accurate and adapting messages to the relevant audience
  • Ability to organize personal and team time effectively.
  • Demonstrate a strong level of customer service competence, working well under pressure in a fast-paced environment with changing priorities and requiring quick and concise
  • A keen interest in learning about the PMO and ICE’s systems and technologies, being quick to learn and avoid any repeat mistakes
  • Technical understanding and experience with networks, telecommunications and data infrastructure is a strong plus
  • Financial industry experience, specifically exchange trading and market data, is also of benefit
